How ActivityHub collects, uses and protects personal data for activity centres, staff and participants, in line with UK GDPR.

This notice explains, in plain terms, what personal data ActivityHub handles and why. It is a starting template and should be reviewed by your own adviser before you rely on it.

Who we are

ActivityHub provides operations software to activity centres. Where a centre uses ActivityHub to manage its staff and participants, the centre is the data controller and ActivityHub is the processor acting on its instructions.

What we collect

  • Account details for staff (name, email, role, qualifications).
  • Participant and visiting-group details entered by the centre (names, group, dietary and medical notes).
  • Operational records: bookings, timetables, kit logs and incident reports.

Why we collect it

Solely to provide the service: building timetables, tracking kit, managing bookings and recording safety information on behalf of the centre.

How we protect it

  • Each centre's data is isolated from every other organisation on the platform.
  • Access is by individual login with securely hashed passwords.
  • Data is transmitted over encrypted connections.

Your rights

Individuals have rights over their personal data under UK GDPR, including access, correction and erasure. Requests should go to the centre as data controller, who we will support.
